- Administrator management is now easier to reach: Superusers can open Admin from the top bar, review administrators, and add administrators from a dedicated Add Admin page, while regular administrators cannot change administrator access.
- Setup verification finishes with clearer next steps: Successful verification now links directly to the workspace in the Medtech OS GUI, while the re-run button appears only when verification fails.
- Request Signatures is safer to repeat: If signature requests are already outstanding, triggering Request Signatures again refreshes the Medtech OS waiting-list message instead of returning a status error.
- Signature waiting messages show full names: After a signer completes their signature, the Medtech OS property now shows the remaining signers by full name instead of shortening names like “J. David Giese” to “J.”.
- Workspace documents can now be deleted or archived from Medtech OS: Workspace owners can delete unapproved documents and revisions, archive approved document databases and documents, view archived items by document database, and unarchive them when they need to resume work. If Notion cannot archive a page, Medtech OS keeps it out of the active Medtech OS workflow and warns that the Notion page was left unchanged.
- Workspace configuration is admin-only: Workspace owners can still manage their workspace users and view workspace activity, but editing the workspace integration settings is now limited to Medtech OS admins.
- Reset Password and Unlock now confirm what happened: On the Workspace Users page, clicking Reset Password or Unlock previously gave no feedback—the page reloaded silently. Each action now shows an in-page alert naming the affected user, and the affected user receives a confirmation email. For a password reset the email explains that they’ll set a new signing password the next time they open a signing link; for an unlock the email tells them they can sign again in that workspace. If the email cannot be delivered, the admin sees a warning alert so they know to follow up out-of-band.
- Signature requests use the revision’s current approvers: Request Signatures now reads the live Approvers relation from the Revision page, so approvers added to the revision after it was generated are included even if the automation payload contains stale relation values.
- Clearer missing-approver guidance for signature requests: If Request Signatures is triggered on a revision with no Approvers, Medtech OS now tells the user to add at least one person to the revision’s Approvers property before trying again.
- Heading 4 blocks are now exported: Notion recently added a fourth heading level to its block editor. Heading 4 blocks used to be silently dropped on export; they now flow through to the exported document as a deeper-level heading, in the same way Heading 1–3 are shifted today.
- Unknown block types are flagged on export: If a Notion page contains a block whose type Medtech OS doesn't yet recognize (typically because Notion shipped a new block type before Medtech OS added support), the block is still dropped from the exported document, but the export now surfaces a warning per unknown block in the Medtech OS property’s warning link so you can see something is missing and reach out for support.
- Job logs open Notion links faster: Notion links in job logs now open the corresponding page or block in the Notion app.
- Fixed
render_content filter: The |render_content template filter wasn’t pulling in linked-to pages or running other plugins on the inlined content. It now renders linked pages the same way as a direct export.
- Exported PDFs now use the Poppins brand font: Exported PDFs previously rendered in a substitute font because the Medtech OS brand font wasn’t installed on the export server, so they didn’t match the look of the web app. Exports now render all body text and headings in Poppins—the same font as the Medtech OS web app—regardless of the fonts named by the export template. Mathematical equations are unaffected and continue to render in their original font.

- Fixed document database toggles: On the Document Databases page, closing a database now also hides any revisions that were expanded under its documents.
- Fixed refresh completion messages: Refresh jobs with warnings now write a valid Medtech OS completion message instead of failing when adding the job log link.
- Exports keep going when a Jinja relation points to an archived page: The
join_to template filter used to stop the entire export when any relation pointed to an archived or deleted Notion page. It now skips the unresolved relation, finishes the document, and surfaces a warning that links directly to each affected Notion page so you can restore it or clear the dangling relation.
- Exported PDFs render equations in their original Cambria Math font: PDF exports now render mathematical equations using a licensed copy of Cambria Math, the same font Microsoft Word uses on the desktop. Equations look the same in the exported PDF as in Word, including stretchy radicals, brackets, and large operators, and equations remain editable in the exported Word document.
- Cleaner signature-request email wording: The signature-request email's opening line used to read “You have been asked to approval the following document”. It now reads “Your approval is requested for the following document” (or “Your review is requested…”, depending on the signature meaning) so it is grammatical for every meaning the signer was assigned.
- Long error messages no longer break the Medtech OS property: Some export and setup errors generated more text than Notion accepts in a single property segment, which caused the worker to fail to surface the error at all. Long error details are now truncated in the property with a clickable “view full details” link to the job log page where the full message is viewable.
- Deactivated signers no longer see their workspace’s documents: A signer who had been deactivated in a workspace could still view that workspace’s outstanding signature requests and signed history through their signing dashboard. The dashboard now hides any document from a workspace where the signer is deactivated, while still preserving the underlying signature audit trail in the database.
- Routed signature requests reappear on the dashboard: The deactivation fix above was hiding too much—signature requests sent to anyone who had not yet been explicitly added to the workspace (for example an admin routed a document for approval) vanished from “My Signature Requests” even though the email went out. The dashboard now shows every outstanding request and signed document for the signed-in user, hiding only those in workspaces where the user has been explicitly deactivated.
- Clearer surfacing of inaccessible synced blocks: Notion synced blocks whose source lives on a page that is not shared with the Medtech OS integration cannot be rendered. The exported document used to silently drop the block, leaving no indication anything was missing. The exporter now places a visible note at the spot where the block belongs explaining the missing share, and the Medtech OS property's warning link counts each occurrence so it’s easy to spot from Notion.
- Deleting a revision mid-export no longer triggers a spurious admin alert: If a user deleted a revision page in Notion while its export was still running, the worker tried to write an error back to the missing page, failed again, then emailed the workspace owner as a last resort. The worker now recognizes a missing revision page as a clean cancellation and stops cleanly without sending the email.

- Rollup values in exported documents: Notion rollup properties that pull values through a relation (such as a client's name or address) now appear correctly in exported documents instead of causing an error.

- More reliable AI suggestions on failed exports: When a Jinja template error stops an export, the AI-suggested fix in the resulting document is now far more likely to appear. Identical errors across many rows of an Export-All run share a single OpenAI lookup, and transient rate-limit or server errors are retried automatically.
- Equations now render in exported PDFs: Mathematical equations (including Notion equation blocks) were appearing as empty boxes in PDF exports. They now render correctly, including complex layouts such as fractions, radicals, matrices, and large operators. Equations remain editable in the exported Word document.

- Workspace Users page: Workspace owners and admins can now manage users from a dedicated Users page for each workspace. Add users by email, deactivate or reactivate accounts, reset signing passwords, unlock locked accounts, and change role between Signer and Workspace Owner.
- Welcome email for added users: When a workspace owner or admin adds a user to a workspace, the user now receives a welcome email identifying the workspace and linking to the reference documentation. The user can then log in directly from the login page without waiting for a signing request.
- Workspace owners are full workspace admins: Workspace owners now have the same permissions as Medtech OS administrators for the workspace(s) they own. They land on the Workspaces admin page (filtered to their own workspaces) after logging in, and can view databases, jobs, configuration, and trigger refreshes, exports, and re-runs within their workspace(s).
- Change Role page: The separate Promote / Demote actions on the Workspace Users page have been replaced with a Change Role link that opens a dedicated page with a role dropdown for Signer and Workspace Owner.
- Administrators are protected from other roles: Administrator accounts now display as "Admin" in the Workspace Users page, and only other administrators can change their role, reset their password, deactivate them, or unlock them. Workspace owners see administrator rows without action controls.
- Self-demotion confirmation: When you change your own role to a less privileged role on the Change Role page, the browser now asks you to confirm before applying the change so you do not accidentally lock yourself out of Workspace Owner capabilities.
- Self-deactivation confirmation: When you click Deactivate on your own row in the Workspace Users page, the browser now shows an explicit warning that you will lose access to the workspace and require another admin or workspace owner to restore you. Deactivating other users uses the same lightweight confirmation as before.
- Account Settings page: All authenticated users can now view their email, edit their full name, and change their signing password. Click your email in the header to access it.
- Roles documentation: The reference docs now describe the Signer and Workspace Owner roles, including how users are added to workspaces.
- Fixed: Deactivated users were still able to sign documents. They are now correctly blocked from signing in workspaces where they have been deactivated.
- Longer login sessions: Login sessions now last 30 days instead of 1 day, so you won’t need to re-authenticate as frequently.
- Cleaner error messages: Configuration and export errors no longer show raw API responses or JSON. Messages now describe the problem in plain language with a clear next step.
- Clickable database links in errors: When a database cannot be accessed during configuration checks, the error message includes a clickable link to the database and names the integration that needs access.
- Descriptive download filenames: Revision PDFs and redlines downloaded from the signing page now use the document title and revision letter (e.g.
MyDoc_Rev_A.pdf, MyDoc_Rev_A_Redline.docx) instead of generic names.
- Signature page now appears in signed PDFs: Fixed a bug where the appended signature page in the signed PDF was rendering blank in PDF viewers.
- Export warnings visible in Notion: When an export produces warnings (e.g. unresolved page mentions, missing templates), the Medtech OS property now shows a clickable warning count linking to the job log page instead of cluttering the property with inline details.
- Job log page for all users: Users who trigger an export can now view their own job logs directly. Previously, only admins could access job details.
- Bounded Notion messages: Error and status messages written to Notion properties are now length-bounded to prevent write failures. Long AI suggestions, captured logs, and configuration issue lists are truncated with a link to the full job log page.
